Privacy policy
Last updated 17 October 2026
Pinnqle holds the records construction and maintenance companies run their business on, including information about their people. This page says plainly what we do with personal information and what we never do.
1. Who we are
Pinnqle is provided by Pinnqle Ltd, a company registered in Scotland with number SC898926. Our registered office is Office 1751, 3 Fitzroy Place, 1/1 Sauchiehall Street, Glasgow G3 7RH, United Kingdom. You can reach us at support@pinnqle.com.
This policy explains what personal information we collect, why, who we share it with, how long we keep it, and your rights.
2. Two kinds of information
Information about you that we decide how to use. When you visit our website, ask about Pinnqle, book a demonstration, sign up, pay us or contact support, we are the controller of that information under UK data protection law.
Information our customers put into Pinnqle. A company that uses Pinnqle decides what goes into it about its staff, subcontractors, clients and others. For that information the company is the controller and we process it on its behalf, under a data processing agreement. If you are one of those people, the company you work with is the first place to ask about it; we will help them answer you.
3. What we collect and why
| What | Why | Our legal basis |
|---|---|---|
| Enquiries and demonstration bookings: your name, work email, company, phone number and what you tell us | To answer you, arrange a demonstration and follow up | Our legitimate interest in answering people who contact us, and taking steps you ask for before a contract |
| Messages to support, from the website or the app: your name, email and message | To answer you and put problems right | Our legitimate interest; our contract with your company |
| Your account: name, email, job role, company and sign-in records | To let you sign in and use Pinnqle | Our contract with your company |
| Billing: the company’s details and who to invoice; payments are taken by Stripe | To bill for the subscription and keep the records the law requires | Our contract; our legal obligations |
| Technical information: IP address, browser and device, pages used, errors | To keep Pinnqle secure, working and improving | Our legitimate interest in running a secure service |
| What you ask the AI features, the documents and drawings you give them, and spoken questions to Archer | To give you the answer, draft or reading you asked for | Our contract with your company |
4. What we do not do
- We do not sell personal information, and we do not use it for advertising.
- We do not use customers’ records to train AI models.
- We do not use advertising or tracking cookies.
6. Where it is kept, and transfers
Pinnqle’s database is held by Google Cloud in London. Our application servers run in Google Cloud in Belgium, and stored files in Google Cloud in the EU.
Some of the services above work outside the UK. When information goes outside the UK we rely on the safeguards UK law requires: the UK’s adequacy regulations (including the UK extension to the EU-US Data Privacy Framework for certified US companies) or the UK International Data Transfer Addendum to the EU standard contractual clauses.
7. How long we keep it
- Enquiries that do not become customers: two years from our last contact, then deleted.
- Accounts and customers’ records: while the subscription runs, then for a short read-only period so the company can take a copy, and then deleted. Backups are overwritten within 14 weeks.
- Billing records: as long as tax law requires, normally six years.
- Support messages: while the account is open, and two years after.
8. Your rights
You can ask us for a copy of your personal information, to correct it, to delete it, to limit how we use it, to object to how we use it, or to send it to you or someone else in a common format. Where we rely on your consent you can withdraw it at any time. Email support@pinnqle.com; we answer within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. In Australia, to the Office of the Australian Information Commissioner at oaic.gov.au. We would rather you came to us first, so we can put it right.
10. Security
Each company’s records are kept apart and checked on every read and write; information is encrypted in transit and at rest; backups are taken daily and weekly; and changes our administrators make are recorded. More on our security page. If we ever have a breach that puts your information at risk, we will tell you and the regulator as the law requires.
11. Children
Pinnqle is for businesses and is not meant for anyone under 16.
12. Changes and contact
When this policy changes we update it here and change the date at the top; customers are told by email of any change that matters to them. Questions to support@pinnqle.com or Pinnqle Ltd, Office 1751, 3 Fitzroy Place, 1/1 Sauchiehall Street, Glasgow G3 7RH, United Kingdom.
